Extended note: a scholarship file rebuilt in one weekend
R., applying from outside Japan, sent a scholarship packet with eleven enclosures and a Friday night deadline. Our full package audit found two unsigned declarations and a referee letter addressed to a different scholarship name. R. could not replace the letter in time; we ranked that risk clearly so they could add a short explanatory note the board’s instructions allowed. They later wrote that the explanatory note felt imperfect — and that without the audit they would have submitted the wrong letter silently.
